New volunteers who apply using VSys Web can have their background check requests automatically created by their application. When using VSys Web, of course, people are not actually created/updated or saved, and their certifications - including background check requests - don't actually exist until you accept the application. This lets you place the Sterling Volunteers request on the application invisibly to the volunteer, then decide whether or not to send the volunteer to VV during the acceptance process.

Set up VSys Web application

On your VSys Web online application for new volunteers (or applications if you have more than one),

  1. Place the field Sterling/Verified Volunteers --> Package on the application. (It doesn't matter where on the application you place it since it will be invisible to the volunteer.)
  2. Right-click on the field and select Hidden in web interface.
  3. Right-click on the field again and select Set default value. Choose the Sterling Volunteers "Package" to be used: this value tells Sterling Volunteers what types of checks to run and how the billing should be handled.
  4. Place the field Sterling/Verified Volunteers --> Status on the application. (It doesn't matter where on the application you place this one either.)
  5. Right-click on the field and select Hidden in web interface.
  6. Right-click on the field again and select Set default value. Choose Ready to send if you want VSys to send these requests to Sterling Volunteers at the first opportunity, or to On hold if you want to manually review these before they're sent to Sterling Volunteers.
  7. Click on Edit application properties (upper-left corner).
  8. Scroll down to the bottom to the Options panel, and change the value for Create/reuse Sterling/Verified Volunteers to Create a new one even if one exists.
  9. Save the application's properties and its layout.

What does this do? When you accept the VSys Web application, VSys creates a new background check request with the Package and Status you set. These fields aren't visible to the volunteer online, but VSys knows they're there and uses them to let you set the options for these requests.

Send requests to Sterling Volunteers

Either manually send the requests to Sterling Volunteers on a regular basis, or create a scheduled task to automatically do that for you. Unless you do this, the request never gets sent to Sterling Volunteers for processing!

Retrieve results from Sterling Volunteers

Either manually retrieve the background check results, or create a scheduled task to do that for you.
